Log Your Business Kilometres

Easily log your business kilometres travelled through our e-logger. The Mi-Log tracks the distance travelled by allowing you to enter the name and address of your customer or select this from your CRM or Google Calander as the destination address from your mobile device. The Mi-Log app will then start tracking your travel and will automatically log the kilometres travelled once you reach your destination.

Who should use this application?
Any individual or business who needs to record distances travelled with a vehicle. It is ideal for Real Estate Agents, Financial Advisers and any other occupation and small business where distances travelled with a vehicle needs to be recorded for claiming from SARS for travelling expenses.

When can you claim for travel?
If you receive a travel allowance from an employer or principal, you can claim a deduction on assessment of your annual income tax return for the use of a private motor vehicle for business purposes.
When you use your vehicle to conduct business activities. The kilometres travelled iro business activities need to be recorded and separated from private kilometres travelled to claim from SARS

What do I need to do?
Step 1: Record your motor vehicle’s odometer reading on 1 March, i.e. on the first day of a tax year.
Step 2: Make sure that you keep a logbook throughout the year.  Note that it is not necessary to record details of private travel but you must record details of business travel.
Step 3: Record your motor vehicle’s closing odometer reading on the last day of February (28/29) of the next year, i.e. on the last day of the applicable tax year.
Step 4: Calculate your total kilometres for the full year (closing kilometres less opening kilometres).
Step 5: Calculate your total business kilometres for the year (sum of all business kilometres).
Step 6: Ensure you keep record of kilometres travelled and reason of travel to support your claim should SARS require supporting documents.

What do I need to record in my logbook?
The minimum information required to records are as follows:
– Dates
– Business kilometres travelled
– Departure location
– Destination location
– Reason for the travel
– Actual Fuel/Oil/Maintenance Expenses

How do I calculate my SARS claim?
There are two ways of doing this:
–  Calculate your claim based on the cost scale table which SARS supplies (this table is available in the introduction section to the travel eLogbook)
–  Calculate your claim based on actual costs. To do this, you’ll have to keep an accurate record of all your expenses during the year, in addition to keeping a log book. These expenses include fuel, oil, repairs and maintenance, car licence, insurance, wear-and-tear and finance charges or lease costs.

General Tips
Keep your logbook for a period of at least five years from the date of the submission of your return, as you may be required to submit it to SARS to support your claim.
Travelling between home and place of work is considered as private kilometres and not a tax deductable expense.
A Separate logbook must be maintained per vehicle.
